Document Coordinator – for a program within public sector in Stockholm

We are looking for a structured and experienced Document Coordinator for a larger program within the public sector. The role is central to the program's documentation, information management, and administrative support.

About the role

You are responsible for ensuring that the program's and projects' document management operates efficiently and in accordance with applicable regulations. You will train new program members in project documentation, serve as the contact person for the registrar and archivist, and coach and lead resources within the documentation function. If necessary, you will support the projects with administration and record-keeping.

Key responsibilities

• Ensure routines for document and case management
• Administer the program's document management system and folder structure
• Record and quality assure documents according to the document management plan
• Coordinate and update the document management plan
• Be responsible for the functional mailbox and case number list
• Coach and lead documentation resources
• Contact person for the registrar and archivist

Qualifications

• University or vocational education in a relevant field
• At least 5 years of experience in document coordination in projects/programs within public administration (reference projects ≥ 500 MSEK)
• At least 5 years of experience with case, project, and document management systems
• Documented GDPR training (max 3 years old)
• At least 5 years of experience leading teams of at least 3 people.

You are meticulous, self-driven, and communicative with good social skills and the ability to see both the big picture and details. The assignment allows for work both remotely and in the Stockholm area office.
